The management of blocks of flats, whether purpose-built or converted, calls for specific expertise in areas such as budgeting and accounting, maintenance and compliance with Health & Safety and other legislation. The Companies Acts demand various statutory annual returns and require particular know-how. We can provide an all-encompassing service to management companies and other groups in the running of communal buildings.

  • Every development within our management is inspected by a member of a dedicated team of Property Managers
  • Contracts for services to communal areas, such as cleaning and gardening, are set up and reviewed on a regular basis
  • Financial budgets are prepared and monitored carefully to ensure optimum use of funds
  • Service charge contributions are calculated and collected at required intervals using our in-house computer systems, utilising dedicated software
  • Detailed accounts, including a balance sheet and schedule of repairs, are issued annually
  • A Long Term Maintenance Plan is prepared by our Specialist Building Surveying Department to identify future maintenance liabilities and forward plan major expenditure requirements
  • General repairs and day to day maintenance requirements are collated through the department and contractors instructed as necessary from our 'approved' contractors' list or our own maintenance department.
  • Careful records are logged to ensure that cyclical maintenance is undertaken at the appropriate times
  • Reserve funds, based upon the Long Term Maintenance Plan, are maintained to ensure there are no abrupt variations in service charges and that funds are available for essential works as and when necessary

Right to Manage

The following is a brief outline of the services performed by BPS as Managing Agents:


Proposal of a member of Britannia as Company Secretary to carry out all duties including looking after the accounts, signing cheques and dealing with official returns in relation to the Companies Acts.

  • Taking care of the day to day maintenance, management, cleaning etc. of the communal areas including provision of 24-hour emergency call-out.
  • Carrying out property inspections to assess the superficial condition of the property or to view works in progress.
  • Arrangement of buildings insurance.
  • Arrangement and attendance of the Annual General Meeting.
  • Attendance of regular meetings with directors to discuss and advise ongoing matters, changes in legislation, planned maintenance etc.
  • Preparation of an annual budget of likely communal expenditure and presentation of that budget to the members for approval. Advising on the provision of reserve funds and sinking funds.
  • Provision of regular statements of income and expenditure.
  • Preparation of annual company accounts in accordance with the lease terms and liaison with accountants.
  • Liaison with solicitors over conveyancing enquiries relating to the sale and purchase of flats.
  • Collection of service charges in accordance with the approved budget.
  • Collection of any ground rent and dealing with the Freeholder, if applicable.
